The smart scheduling engine, explained.

Carpool Scheduler splits the work in two. AI handles the language: your families describe their availability in plain words, and the AI turns the words into structured answers. A smart scheduling engine handles the decisions: it assigns every drop-off and pickup with fixed rules you can check. AI never decides who drives.

Plain words, checked by a person

Nobody fills in a grid. Each family types what they would text the organizer: “I can always do drop-offs but never pickups.” The AI reads it the way a person would, and it separates a hard “can’t” from a “would rather not.”

Before anything is saved, the family sees what the AI understood and can correct it with a tap. The AI proposes; the person decides.

The engine

The engine does not use AI, by design. It uses fixed rules, applied in a fixed order, so the result can be checked and repeated. Fairness comes first: each drop-off and each pickup counts as its own trip, and the engine keeps every family’s trip count as even as the season allows. Preferences are honored only when they do not reduce fairness, and further rules spread the types of trips and keep any one family from driving too much in a single week.

Five promises, checked on every schedule it builds:

  • It never assigns a slot a family said they can’t do.
  • It never trades fairness for preferences.
  • When trips don’t divide evenly, the schedule shows who drives the extra trip.
  • When no family can cover a slot, the schedule marks it as needing a driver.
  • The same answers always produce the same schedule.

Switches are a tap

The engine runs once, at the start of the season, and the schedule stays put after that. When plans change, anyone in the carpool can record a switch: tap the slot, pick the new driver, done. The schedule shows what changed, who recorded it, and who was originally assigned, and the trip counts update on their own. The app also drafts the message that tells the group; you send it from your own texts.

On everyone’s calendar

Each person in the carpool gets a personal calendar feed. Subscribe once, and the season appears in Apple Calendar or Google Calendar with your own driving days marked. It is a subscription, not a sync: Apple refreshes it roughly each hour, Google about once a day. The schedule in the app and on the web is always current.

How this compares

  • Most carpool apps organize; they do not decide. A person still builds the rotation. Carpool Scheduler’s engine builds it, and shows every trip count.
